Who I am
I’m Oliver Reeve, and I run Wedding Films by Oliver Reeve from York, North Yorkshire. I’m responsible for the personal information described on this page. You can reach me at oliversweddingfilms@gmail.com or on 07479 084 461.
What I collect, and why
When you enquire. If you use the enquiry form on my Contact page or Home page, I collect what you type in, such as your names, email address, phone number, wedding date, venue and message. The form is run by Studio Ninja, the software I use to manage enquiries. I use your details to reply, check my availability and talk through your day.
When you ask for an instant quote. The quote form on my Investment page asks for your names, email address, venue and wedding date. I keep those details and use them to work out your quote. I also add them, along with your quote, to Brevo, the email service I use to send you your quote and, if I haven’t heard from you, a few follow-up emails about your enquiry. Every email has an unsubscribe link, and you can also just ask me to stop.
When you get in touch another way. If you email me, call me or message me on WhatsApp, I keep what you send so I can reply and remember what we’ve talked about.
When you book. I keep your contract, invoices and payment records, and the details I need to plan your day. Your films include you, your guests and your family.
Your film page. Couples get a private, password-protected page on this website with their highlight film, a few photos and a link to a Google Drive folder with their films. The Drive link stays live for 30 days, so please download and back everything up. I keep delivered films and files for 12 months, because of storage.
When you visit this website. My web host, SiteGround, keeps standard server logs (such as your IP address, browser and the pages you asked for) to keep the site secure and running. I don’t use analytics or advertising trackers on this website.
Cookies and other companies’ services
Ordinary pages on this website don’t set cookies. A few things involve other companies:
- Private film pages set a cookie so you don’t have to type your password again. It lasts up to 30 days.
- The enquiry form is loaded from Studio Ninja, which may use its own cookies.
- Films play from YouTube’s privacy-enhanced player, which Google runs. Your browser connects to YouTube when you hover over or press play on a film, so Google can see your IP address at that point.
- The fonts on this website are loaded from Google Fonts, so Google can see your IP address when a page loads.
Who I share your information with
Only the services I need to run my business: Studio Ninja (enquiries and client management), Brevo (quote and follow-up emails), Google (my email, Google Drive for delivering films, YouTube for playing films, and Google Fonts) and SiteGround (website hosting). I don’t sell your information. Some of these companies are based outside the UK, and where they are, I rely on the safeguards UK law requires. If the law requires me to share something, I will.
Why I’m allowed to use it
I use your details to reply to you, give you a quote and deliver what we agree, because that’s taking steps at your request and carrying out a contract. I use them for follow-up emails, keeping records and keeping the website secure because it’s in my legitimate interests to run my business responsibly, and I make sure that never overrides your rights. I keep financial records because the law requires it. I only publish a couple’s film or photos publicly if they’re happy for me to.
How long I keep it
- Enquiries and quotes: for as long as I need them to reply and follow up. If you don’t book, I don’t keep them longer than I reasonably need to, and I’ll delete them if you ask.
- Bookings, contracts and payment records: for as long as the law requires me to keep business records.
- Delivered films and files: 12 months, as above.
Your rights
You can ask to see the information I hold about you, have it corrected or deleted, ask me to limit or stop using it, or ask for a copy you can take elsewhere. You can unsubscribe from my emails at any time. If you appear in a film as a guest and have a question about it, please ask. Just get in touch using the details above and I’ll reply as soon as I can.
If you’re unhappy with how I’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk. I’d appreciate the chance to put things right first.
Changes to this policy
If I change how I use your information, I’ll update this page and the date at the top.
